Position Overview:
The Accounts Officer will oversee daily accounting operations, ensuring the General Ledger is accurately and promptly updated. This role requires supervision of accounting procedures, monitoring financial transactions, and maintaining proper control over various financial processes.
Key Responsibilities:
- Assist the Group Finance Manager in setting up and implementing accounting, financial, and control policies to safeguard the interests of the company's employees and customers.
- Ensure strict adherence to accounting procedures by all staff and perform daily supervision to ensure compliance with established processes, policies, and standards.
- Maintain the confidentiality of sensitive documents and information, ensuring all are securely filed and controlled.
- Oversee the cashiers' encashment and payment processes, ensuring that debtor accounts are updated promptly.
- Update and control the Till Accounts daily to ensure accurate cash flow records.
- Monitor banking processes, conducting daily online control via Internet Banking
- to track lodgments.
- Reconcile Bank Statements and make timely adjustments to maintain alignment between the cash book and Bank Statement.
- Supervise all banking transactions, including bank transfers, credit card transactions, and cheque clearances.
- Monitor foreign currency transactions and ensure proper management of foreign payments.
- Ensure an effective system is in place for the follow-up of returned cheques, updating debtor accounts accordingly.
- Ensure accurate posting of all accounting transactions in the General Ledger.
- Perform standard journal entries for recurring items and ensure accruals, prepayments, and control accounts are properly monitored.
- Control the processing of cash and credit invoices from the Sales Department and promptly notify the head of sales or GM if discrepancies arise.
- Ensure that Debtors and Creditors for the current month are processed and updated on the system before the monthly VAT return deadline.
- Prepare the monthly Trial Balance and Management Report and submit them to the Chief Finance Officer for analysis.
- Monitor the verification, processing, and dispatching of payments to both local and overseas creditors, ensuring timely execution.
- Follow up with Foreign Creditors, reconciling statements and ensuring payments are made before due dates.
- Prepare and submit monthly NPF, TDS, and EPF returns to local authorities on time.
- Provide weekly summaries of internal billing from debtor reports to the Accountant for approval before posting.
- Maintain meticulous schedules for both Profit & Loss and Balance Sheet accounts, as requested by the Accounts Manager.
- Delegate and organize tasks efficiently among accounting staff, ensuring smooth daily operations and effective communication.
- Maintain discipline among accounting staff, escalating misconduct or disciplinary issues to the Chief Finance Officer.
- Conduct annual performance assessments with the Accounts Manager, providing recommendations for employee rewards, motivation, and counseling.
Qualifications & Experience:
- Degree in Accounting and Finance and/or ACCA Level 1-2.
- 2-3 years of experience in an accounting role.
- Proficient in Microsoft Office.
- Strong technical accounting skills with experience in accounting software.
- Excellent analytical and problem-solving abilities.
