Job Purpose
To be the first point of contact for Neel Group, managing front-desk duties with professionalism and efficiency, while providing vital administrative support and assisting with debtor follow-up and communication. The role is central to ensuring smooth daily office operations and timely cash collection coordination.
Key Responsibilities
Front Desk & Communication:
- Receive and attend to all incoming calls in a professional manner
- Make outbound calls on behalf of the Group for internal coordination, supplier/client follow-up, and payment reminders
- Welcome visitors, clients, and suppliers and guide them as appropriate
- Maintain a clean and organized reception area
Debtor Follow-Up & Collections Support:
- Call debtors regularly as per aging report provided by Finance
- Follow up on payment commitments and escalate delays where needed
- Maintain accurate records of all debtor communications
- Coordinate with the finance team for updates on received payments
Administrative Support:
- Assist with filing, document management, and office organization tasks
- Manage incoming and outgoing mail/courier services
- Order and maintain office supplies and stationery stock
- Support senior executives with scheduling, coordination, and basic document preparation
- Assist in the preparation of letters, memos, and internal communication
Internal Coordination:
- Liaise with departments across Neel Group companies to support day-to-day activities
- Ensure prompt transmission of messages and internal requests
- Maintain logs of important calls, visitor registers, and administrative files
Required Qualifications & Experience:
- HSC or Diploma in Office Administration / Secretarial Studies or related field
- Minimum 2 years of relevant experience in reception or office administration
- Excellent verbal and written communication in English and French
- Polite, professional demeanor with a strong sense of discretion and confidentiality
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to multitask, prioritize, and remain calm under pressure
- Strong interpersonal skills with a “can-do” attitude
- Experience in debtor follow-up is a plus
