The (non-exhaustive) list of duties for this role would cover at a minimum:
(i) Assisting in conducting the day-to-day management and administration of a portfolio of clients
(ii) Work closely with the allocated team on a range of client transactions
(iii) Assisting in ensuring completeness of due diligence documents for a portfolio of clients in line with internal, national, and international policies and procedures
(iv) Assisting with all applicable statutory filings to ensure they are lodged within the respective deadlines
(v) Draft complex minutes and resolutions for Board, AGM, and other types of meetings
(vi) Be aware of risk exposures and promptly escalate issues arising to other members of the Management team
(vii) Be fully acquainted with the regulatory framework and laws for all applicable jurisdictions serviced
(viii) Open and maintain clients' bank accounts
(ix) Provide instructions to the officers for payments and banking instructions
(x) Ensure application and renewal of Tax Residency Certificates
(xi) Execute and supervise the compilation of board packs for Board Meetings
(xii) Arrange and attend board meetings and draft minutes for medium and high-complexity client entities
(xiii) Carry out the annual/special meetings for medium and high-complexity client entities
(xiv) Execute the Company Secretarial and Administration processes whilst ensuring an optimal level of efficiency and productivity at all times
(xv) Conduct periodic file reviews
(xvi) Ensure the completeness and integrity of data on ViewPoint and/or any other CRM software implemented
(xvii) Participate in ad hoc projects for process improvements
(xviii) Track and maintain KPI for management
(xix) Correspond and liaise with clients on the matters mentioned above
(xx) Ensure delivery of high-quality service to all intermediaries and clients, working closely with the client executive (s) and/or manager(s)
(xxi) Conduct file reviews and ensure compliance with all relevant regulations, laws, and guidelines, including internal policies and procedures, and submission deadlines
(xxii) Ensure a high standard, timely delivery of client commitments based on agreed-upon deadlines
(xxiii) Demonstrate good client service against the needs and demands of high-net-worth clients
(xxiv) Any other function that may be relevant for this appointment
c. The candidate profile we are looking for would:
- be someone with a relevant undergraduate degree (e.g: law, economics, finance, etc) with (or learning towards achievement of) a relevant professional qualification (e.g: STEP, ICSA, etc) being preferred
- have around 3-5 years of relevant experience (ideally with at least 2 years of prior relevant experience with a management company)
