Working Hours: Monday to Friday- 07:30-16:30
Key Responsibilities:
1. Driver Services:
• Safely transport company collaborators, clients, and goods, ensuring timely, professional service
• Maintain an accurate and detailed travel log to record travel destinations, times, and vehicle usage.
• Perform regular vehicle checks, including refueling, routine maintenance, and basic inspections, in accordance with company policies.
• Ensure all corporate vehicles are washed and kept clean, both inside and out, to project a professional image on a weekly basis.
• Maintain and organize vehicle-related records, such as maintenance receipts and fuel expenses, and submit them to the PA & Admin Supervisor for review.
• Communicate and coordinate with the PA & Admin Supervisor for vehicle servicing, repairs, and any required inspections to ensure optimal functionality.
• Comply with all road traffic regulations and company policies regarding safe and
responsible vehicle operation.
2. Messenger Services:
• Handle all office errands, including dispatches, postages, and courier services.
• Manage the collection and delivery of couriers promptly and accurately.
• Facilitate customs-related tasks, such as handling requests, amendments, and
payments.
• Conduct bank-related tasks, including transfers and document submissions.
• Collect goods purchased and ensure safe delivery to the designated location.
3. Office Setup and Maintenance:
• Prepare the office for daily operations every morning.
• Ensure the dishwash area is kept free from dirty glassware, plates, and bottles by
promptly removing and cleaning them.
• Monitor and replenish kitchen supplies (e.g., kitchen rolls, coffee machine ingredients)
and inform the PA & Admin Supervisor of any requirements.
• Ensure all corporate equipment is cleaned, organized, and ready for use before staff arrival.
• Maintain cleanliness and organization in managers’ offices daily.
• Ensure the boardroom is clean / disinfected and properly arranged for use each day.
• Keep all common spaces, including the kitchen, clean and organized.
• Clean the refrigerator weekly to maintain hygiene standards.
• Perform daily cleaning and maintenance of the coffee machines and water fountain to ensure they are in good working condition.
4. Supervision of Cleaning Staff:
• Oversee the cleaning staff during their visits to ensure that all cleaning tasks are
completed to a high standard.
• Provide feedback and specific instructions to cleaning staff regarding their duties.
• Inspect office cleanliness and report any issues to the PA & Admin Supervisor for any further action.
5. Administrative and General Support:
• Assist with minor repairs, general office maintenance, and inventory checks, ensuring a well-maintained and organized workspace.
• Accompany suppliers during their visits to the office for maintenance, installations, or other interventions.
• Provide logistical support for corporate activities, meetings, or events as required.
• Be available to assist with interventions or emergencies that occur after working hours, with overtime compensation as applicable.
• Support cleaning staff twice a month by opening the office for them and coordinate the scheduling of common space cleaning to maintain a high standard of hygiene and organization.
• Perform a general check of the office premises after the removal of disaster warnings (e.g. Cyclone), to assess and report on the status of the office and ensure readiness for resuming operations if requested.
Qualifications and Skills:
• Valid driver’s license for private car and motorcycle license (125cc) with a clean driving record.
• Proven experience as a professional driver with knowledge of local routes and road traffic legislation.
• Familiarity with courier and banking procedures.
• Basic understanding of office setup and maintenance.
• Effective communication skills.
