Our client is looking to a Personal Assistant to the Director.
JOB DESCRIPTION
Responsibilities
- Assist/support the Director in the daily activities
- Screen and direct phone calls and distribute correspondences accordingly
- Handle clients requests and queries appropriately
- Manage diary and organise meetings and appointments
- Take minutes of meetings as and when required
-Book and arrange travel, transport, and accommodation
-Draft correspondences and letters
- Basic knowledge in Accounting - Preparation of cheques & Salaries monthly
-Assist the Director in taking appropriate action on the tasks which fall under his purview.
-Close follow-up on all pending tasks and take actions consequently
-Remind the Director of important tasks and deadlines
- Manage the Directors personal Bank Account and manage transfers on request.
- Manage the Directors personal administrative chores (payment of employees, utilities, Car & any other home expenses)
- Organise office events/gathering as and when required
-Manage staff queries
-Any other cognate duties to support the Director
Requirements and skills
- HSC / Holder of a Diploma or Degree would be considered as an advantage
- Proven work experience as a Personal Assistant
- High level of discretion and trustworthiness
- Exceptional interpersonal and communication skills both verbal and written
- Ability to be proactive and take initiatives in the Directors absence
- Ability to be diplomatic and tactful
- Computer literacy (Microsoft package)
- Quick learner /ability to multitask a
- Strong organisational skills, particularly in diary management and scheduling
- Fluent in English and French
